Terms & Conditions
Richmond Sports Podiatry (Trading as "The Functional Podiatrist") - Company Terms and Conditions (T&Cs):
Appointment Cancellations and Rescheduling:
We respectfully request a minimum of 24 hours' notice for rescheduling or cancelling appointments. Failure to provide this notice will incur a charge equivalent to 100% of the appointment cost. This policy is applied at our discretion and in accordance with our No Show policy. If you are covered under Private Medical Insurance, please note that missed consultations may result in you being personally liable for the costs.
Confidentiality and Data Use:
Your personal information is treated as confidential and is used solely for the purposes of your medical records and to comply with the legal and regulatory requirements of the Royal College of Podiatry, the Health Care Professions Council. We adhere to EU and GDPR regulations. All medical and personal data is securely stored for a minimum of seven years with no paper records held.
Consent for Treatment:
By signing this document, you consent to undergo podiatry treatment and consultation, including any necessary examinations, diagnostics, and treatments as deemed necessary by your podiatrist to provide optimal care.
Refund Policy:
All services provided are non-refundable. If you have concerns about your treatment, please contact us at info@thefunctionalpodiatrist.uk, and we will endeavour to address them promptly.
Media Consent:
You consent to the taking of photographs, videos, and audio recordings during your consultation, which may be used for clinical records and potentially shared on our social media platforms, with your verbal consent each time.
Sharing Information with Health Professionals:
You consent to the sharing of reports about your examination and treatment plan with relevant allied health professionals and your GP as necessary. Please inform us if you do not wish this information to be shared.
Risk Acknowledgement:
You acknowledge that, as with all medical treatments, there are inherent risks involved in podiatric treatments. You trust the podiatrist's judgement to make informed decisions during your treatment based on their professional expertise.
Decision-Making and Consent:
We utilise a shared decision-making approach in our treatments, ensuring you are fully informed and verbally consent to any procedures. Formal consent will be requested for more advanced procedures.
Booking Appointments:
Individuals aged 16 years and over are considered adults and are expected to schedule their own consultations unless an alternative arrangement, such as through a parent or partner, is communicated to us.
Mental Capacity:
When scheduling for adults over 16, consent to hold personal data and schedule consultations is required directly from the individual unless a health-related power of attorney is provided. For children under 16, a parent or legal guardian must handle all aspects of the consultation.
Appointment Confirmations:
You will receive SMS and Email confirmations when booking and 24 hours before your appointment. If you do not receive these, please contact us at 020 3576 0630 or confirm@thefunctionalpodiatrist.uk to ensure your appointment is scheduled.
Financial Terms for Insured Patients:
Specifically for BUPA recognised patients, it is your responsibility to inform BUPA and gain pre-authorisation prior to each consultation. If pre-authorisation is not obtained, you will be personally liable for any incurred costs. Richmond Sports Podiatry charges a £15 self-pay fee following each consultation to cover administrative costs, including dressings or medications used. This fee helps cover the shortfall created by BUPA's fixed fee structure, which is £45 for an initial consultation and £25 for a follow-up. This arrangement is between BUPA and the individual podiatrists and is not influenced by any contractual obligations with our clinic.
Pricing Changes:
We reserve the right to modify the pricing of our services. Any changes will be communicated to existing patients via our website and booking software and displayed in our clinic at least 10 days prior to the effect. Please contact us at least 24 hours before your appointment if you wish to cancel under the existing terms.
Digital Consent:
As a new patient, you will be asked to complete a digital consent form or in clinic if this has not been conducted agreeing to these terms and conditions. Please ensure you complete and submit this.
Insurance Coverage and Payment Obligations:
Insurance Claims:
Richmond Sports Podiatry (trading as "The Functional Podiatrist") will facilitate claims with your insurance provider on your behalf for each consultation. However, it is your responsibility to ensure that all treatments are pre-authorised by your insurer and that your insurance policy covers the
treatments provided.
Shortfalls and Patient Liability:
In instances where your insurance does not cover the full cost of the consultation or treatment, any shortfall will be directly payable by you, the patient. You will be informed of any such shortfall as soon as it is identified.
Payment of Shortfalls:
Any shortfall in payment must be settled within 14 days from the date of the initial billing notification. Failure to settle the outstanding balance within this period will result in interest being charged on the overdue amount.
Interest on Late Payments:
Interest will be charged on any outstanding balance remaining after the 14-day period at a rate of 4.5% per annum. This interest will accrue daily until full payment is received.
